How we collect, use and protect your personal data, and the rights you have over it under India's Digital Personal Data Protection Act, 2023.

Template — please have this reviewed by legal counsel

This page is a plain-English template prepared to help cover the main points of India's Digital Personal Data Protection Act, 2023. It is not legal advice, and we are not lawyers. Please have it reviewed by qualified legal counsel before relying on it, and before publishing it on a live site that collects personal data.

What we collect, and why

Depending on which form or conversation you use — the popup enquiry form, the sidebar quote form, or the chatbot — we may collect the following.

Personal data we collect and the purpose of each item
NameTo address you correctly and personalise our reply to your enquiry.
Phone numberTo call, SMS or WhatsApp you about your enquiry, and to share quotes or proposals.
Email addressTo send you a written proposal, quote, invoice or follow-up information by email.
Company nameTo tailor the proposal to your organisation and to confirm the enquiry is from a business.
City / locationTo match your enquiry to our local team and confirm we serve your area.
Service interest and team sizeTo scope the right format, trainers and an accurate, team-size-based quote.
Free-text message (popup form, sidebar form, chatbot conversation)To understand the specific requirement you describe, so our team can respond relevantly instead of with a generic reply.
Website usage data, only with your consent (via Google Analytics 4)To understand, in aggregate, which pages and services visitors find useful, so we can improve the site.

Who this policy covers and what it applies to

Employee Engagement India is a trading brand of IRPR Media Private Limited (CIN U58111PN2025PTC244668), a company incorporated in India. IRPR Media Private Limited is the Data Fiduciary responsible for your personal data under the DPDP Act, and is referred to below as "we", "us" and "our".

This Privacy Policy explains how we collect, use, share and protect personal data when you visit employeeengagementindia.com, use the enquiry forms on this site (the popup enquiry form and the sidebar quote form), or chat with our website chatbot.

This policy is written to reflect the principles of India's Digital Personal Data Protection Act, 2023 ("DPDP Act") — notice, consent, purpose limitation, data minimisation, storage limitation, and your rights as a Data Principal. Where this policy and the DPDP Act or its rules differ, the law takes precedence.

Notice: what we collect and why

We only ask for personal data that helps us respond to your enquiry. Depending on which form or conversation you use, we may collect the items below. We do not ask for sensitive personal data (such as health, financial or biometric information) through these forms, and we ask that you not volunteer it in the free-text message field.

How we collect your data

We collect personal data directly from you, in three ways: the popup enquiry form that can appear anywhere on the site, the sidebar "Get a Quote" form, and the website chatbot, where whatever you type is treated the same as a form submission.

If we run Google Analytics 4 on this site, it also collects website usage data (such as which pages you view and how you arrived here) through cookies, but only after you have given consent to analytics cookies — see the Cookies section below.

Consent: how we obtain it, and how you withdraw it

Where our forms or chatbot ask you to tick a consent box before submitting your details, that consent is: freely given (you can choose not to tick it and not submit the form), specific (it names the purpose — being contacted about your enquiry), informed (this policy is linked alongside it), unconditional, and given through a clear affirmative action (an unticked checkbox is never treated as consent).

You can withdraw consent at any time, as easily as you gave it. To withdraw consent for future contact, reply "stop" or "unsubscribe" to any message from us, or email us at the address in the Grievance Officer section below. Withdrawing consent does not affect the lawfulness of anything we did with your data before you withdrew it, and does not stop us from keeping records we are legally required to keep.

Separately, if this site uses analytics cookies, that is a separate consent choice from being contacted about your enquiry — see Cookies below.

How we use your data

We do not use your data for automated decision-making that produces legal or similarly significant effects on you, and we do not sell your personal data to anyone.

  • To respond to your enquiry: call, WhatsApp, SMS or email you about the services, pricing, availability and proposal you asked about.
  • To prepare and send a written quote or proposal tailored to your company, city and team size.
  • To keep an internal record of enquiries and bookings so our team does not lose track of a conversation with you.
  • To improve this website, in aggregate, using analytics data — only if you have consented to analytics cookies.

Who we share your data with (our data processors)

This website is a static site: it does not run its own database or server-side storage for your submission. When you submit a form or chat with the bot, your details are sent directly, over an encrypted connection, to our lead-management receiver at io.irpr.network, which stores and forwards enquiries to our team on our behalf. That provider acts as our data processor and is only authorised to use your data to deliver this service to us.

If we run Google Analytics 4 (a Google product), Google processes website usage data as our data processor, strictly to produce aggregate analytics, and only once you have consented to analytics cookies.

We do not share your personal data with any other third party for their own marketing purposes, and we do not sell it.

Cookies

Strictly necessary cookies and local storage: used to make the enquiry form work reliably — for example, to prevent an accidental duplicate submission. These do not require consent because the site cannot function correctly without them.

Analytics cookies (Google Analytics 4): used only to understand aggregate site usage, and nothing analytics-related loads until you choose "Accept analytics" on the cookie banner shown on your first visit. You can change your choice at any time using the cookie-preferences link in the site footer, which lets you grant or withdraw analytics consent as easily as you gave it. You can also withdraw consent by clearing cookies and site data for this domain in your browser settings, or by emailing us at the address below.

We do not use cookies for behavioural advertising or ad retargeting.

How long we keep your data

We keep your personal data only for as long as is reasonably necessary for the purpose you gave it to us: to respond to your enquiry, prepare a proposal, and, if you engage us, to deliver and invoice the agreed program. After that purpose is served and any legally required retention period (for example, for tax or accounting records) has passed, we delete or anonymise the data, or stop processing it on request — see Erasure below.

Children's data

Our services are intended for use by companies, HR teams and working adults, not by children. We do not knowingly collect personal data from anyone under 18 years of age, and we do not profile, track for behavioural advertising, or target marketing at children. If you believe a child has submitted personal data to us, please contact us using the details below and we will delete it.

If a parent or verified guardian wishes to submit an enquiry involving a minor (for example, a school wellness program), we rely on that parent or guardian's verifiable consent, given directly to us, before processing any data relating to the minor.

Security safeguards and breach notification

We take reasonable technical and organisational measures to protect personal data submitted to us, including transmitting form submissions over encrypted (HTTPS) connections and limiting who on our team can access enquiry records. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

If we become aware of a personal data breach that is likely to affect you, we will take reasonable steps to notify you and, where required, the Data Protection Board of India, in the manner required under the DPDP Act and its rules.

Grievance Officer and how to contact us

In accordance with the DPDP Act, 2023, IRPR Media Private Limited has designated a Grievance Officer to address questions, requests and complaints about how your personal data is processed.

Grievance Officer: Girish Savant

Changes to this policy

We may update this policy from time to time, for example to reflect a change in the law, our services, or the tools we use (such as adding or removing an analytics provider). We will update the "last updated" date below when we do. Please check back periodically.

Your rights as a Data Principal under the DPDP Act, 2023

To exercise any of these rights, email us using the Grievance Officer contact below with your name, the phone number or email you used when contacting us, and what you would like us to do. We will respond as promptly as we reasonably can. If you remain unsatisfied with how we resolve a grievance, the DPDP Act allows you to escalate the complaint to the Data Protection Board of India.

  • Right to access information: ask us for a summary of the personal data we hold about you and how we are processing it.
  • Right to correction and updating: ask us to correct inaccurate or incomplete personal data.
  • Right to erasure: ask us to delete personal data that is no longer necessary for the purpose it was collected for, or for which you have withdrawn consent.
  • Right to withdraw consent: at any time, as described above.
  • Right to grievance redressal: raise a complaint with our Grievance Officer (below) if you are unhappy with how we have handled your data or your request.
  • Right to nominate: nominate another individual who may exercise these rights on your behalf in the event of your death or incapacity.

Questions about your data?

Write to our Grievance Officer at [email protected] and we will get back to you.
